Connected to the Deal File

One connected process: your team works in Auto eDocs, your customer responds through the portal, and the Deal File remains the dealership's controlled record.

The tools behind the experience

From the first invitation to the final check.

Invite by email or mobile number

Send a customer an invitation from their Deal File by email or SMS. They follow the invitation link and register using the invited email address or mobile number, verify their details and complete the required security steps before accessing their portal.

  • Start the invitation in the relevant Deal File
  • Use email or SMS to reach the customer
  • Guide the customer through registration and secure access

Share the document types you choose

The dealership controls which types of Deal File document are available to customers. Customers can view the vehicle deal and the documents shared with them, while your team retains control of the wider internal record.

  • Apply dealership choices about document visibility
  • Give customers access to their shared vehicle paperwork
  • Keep internal documents outside the customer view

Request, receive, verify and accept

Request a specific document in the Deal File. The customer receives the request and uploads their response through the portal. Your dealership checks the submission, then accepts a suitable document into the Deal File. An unsuitable upload can be rejected and a new request sent.

  • Make the requested document type clear
  • Keep incoming submissions awaiting dealer review
  • Accept the document only after the dealership has verified it

Interactive walkthrough

From your Deal File to their device.

The dealership starts the journey. The customer gets secure access to the vehicle deal and the documents you choose to share.

One review. Two possible outcomes.

The customer supplies the paperwork. Your dealership accepts it into the Deal File, or rejects it and lets the customer know what needs attention.

Accepted: 5 → 7Rejected: 5 → 6 → 2 A rejected upload stays out of the Deal File. The customer is notified, and the dealer can request a corrected document.

The highlighted step shows where the action happens. Dealer approval protects the Deal File.

Reassuringly secure

Easy to use.
Careful with access.

Customers should feel comfortable opening their documents. Your team should feel confident about what is shared. The portal brings both together.

An invitation with a purpose

Email and SMS invitations connect registration to the customer invited by the dealership. Invitation links are single-use and expire, helping keep access deliberate.

Two-factor authentication is required

Customers complete a second security step to access the portal. Options include SMS, email and an authenticator app, with available choices based on their verified contact details and account setup.

The dealership controls the documents

Customer access is limited to the deal information and document types shared with them. Customer uploads are held for dealership review before acceptance into the Deal File.
